Create Outlook Resources

A quick guide to creating resources in Outlook

How can I create Outlook Resources

The increasing use of Outlook for organizing and managing company resources has provided numerous benefits, such as the calendar view of availabilities and automatic confirmation or rejection based on resource availability.

While the most common use case is booking meeting and conference rooms, there are countless other possibilities for your organization. Companies can also manage the booking of equipment, such as media trolleys, microscopes, pool vehicles, bicycles, and much more. Your creativity is the only limitation when it comes to maximizing the potential of Outlook resources.

To book a resource via Outlook, it must first be created in Office 365 Exchange Online, or, if you’re not using Office 365, your on-premises Exchange. Here are the steps to create a resource in Office 365.

Create Outlook Resources

Sign in to Office 365 and navigate to the Admin Portal. Locate the link to the Admin Portal in the App Launcher. In the left-hand navigation menu, find the “Resources” node and below that the “Rooms and equipment” node.

Create resource in Outlook

Click on “Add resource” and complete the form that appears. This will allow you to input the necessary details for the new resource.

After filling out the form, click on “Save” to store the new resource in the system.

Create Outlook resources only with administrative permission

The main challenge in this context is the fact that you must have appropriate administrative rights. If this is not the case for you, contact your IT department.

arboo, your partner for Microsoft 365 Desk Booking Software

In this context, arboo supports both the IT department and the business side, which would like to maintain resources in the system themselves. arboo abstracts the technical authorisation stored in Office 365 and allows local managers (e.g. facility management in a branch office, reception, secretariat, etc.) to maintain resources independently and completely independently of central IT. This aspect of arboo relieves the burden on IT and opens up new possibilities that were previously implausible. For example, local managers can make their workstations bookable in the system.
